Position Description:

Position Summary:
The Executive Administrative Assistant will provide support to Executives within the Business Unit.

The ideal candidate will be self-motivated, honest and professional;

Able to work in a confidential manner and with great discretion and judgment;

Persistence and a sense of urgency are key along with strong awareness of attention to detail.

People or Process Management Responsibility:

Administrative executive coordination inside and outside the company and coordination between other company departments and Business Units.

Position Responsibilities may include, but not limited to:

Complete a broad variety of administrative tasks for executive including: Managing an active calendar of appointments;

Ccompleting expense reports;

Composing and preparing correspondence that is sometimes confidential; and arranging complex and detailed business & personal travel plans, itineraries, and agendas.

Perform advanced, diversified and confidential administrative duties in various aspects of business affairs with utmost tact and discretion.

Work closely and effectively with the Executive to keep him/her well-informed of upcoming commitments and responsibilities, following up appropriately.

Plan, coordinate and ensure the Executive’s schedule is followed and respected.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on items to successful completion.

Exercise independent judgment and make appropriate decisions without close supervision.

Prepare correspondence, memoranda, reports, etc. and respond appropriately and with utmost professionalism to correspondence and memoranda.

Responsible for managing meeting and event planning as required.

Performs all other duties as assigned.

Preferred Skills and Experience:

10 years administrative or assistant-like experience
Six plus year experience assisting a high-level Executive.

Bachelor’s degree

Required Skills and Experience:

High School Diploma or GED

Six plus year’s experience in a senior level administrative role.

Must demonstrate a high level of confidentiality; integrity is paramount

Very strong interpersonal skills and the ability to build relationships with internal and external customers, team members and stakeholders.

Must display an extremely professional and calm demeanor at all times

Ability to be self-directed and work independently but also work well with others at all levels

Must possess strong organizational and multi-tasking skills;

Must have ability to prioritize appropriately

Excellent verbal and written communication skills

Advanced proficiency in Microsoft Office, especially in PowerPoint, Word & Excel

This position must pass a post-offer background and drug test
