Job Title: Auxiliary Enterprises Coordinator

Department: Auxiliary Enterprises

Reports to: Director of Auxiliary Enterprises

Position Summary: Coordinate Summer Fun Day Camp and provide administrative support to the Director and other members of the Department of Auxiliary Enterprises.

Essential Job Responsibilities:

1. Summer Fun/Spring Break Day Camp responsibilities include:

Solicit, interview, and hire qualified individuals to serve as camp staff

Conduct orientation session for all camp staff prior to camp including job performance expectations, safety, emergency action plans, and policies/procedures for the camp counselors.

Contact and organize field trips for the campers

Manage daily operations of camp including monitoring camp staff to assure delivery of camp experiences.

Develop a weekly camp schedule of activities, promotional materials, and fee structure for camp.

Keep accurate records of camp participants and provide weekly reports of camp participation.

Serve as a contact for all parent correspondences.

Process registrations, maintain enrollment database, process deposits, and produce weekly invoices/receipts for campers.

2. Create, organize, and maintain a database and calendar of accounts receivable for all events taking place through Auxiliary Enterprises.

Coordinate scheduling and event planning for customers renting space at Benedictine University Lisle Main Campus.

Communicate with customers to ascertain their needs, coordinate all services for the organization, and create contracts for all external events.

Work with multiple university departments, i.e., Facilities, Registrar, IT, Housekeeping, and Sodexo Catering, to ensure the event needs are met.

Assure execution of event and provide follow up with billing and accounts receivable for all services rendered.

Work within the Auxiliary Enterprise team to track all revenue and expenses.

Come together as a cohesive team to exceed client expectation in order to meet the fiscal goals

3. Assist the Department Director with correspondence, calendar maintenance, appointment scheduling, fielding phone calls and other support functions as needed.

Generate revenue by pursuing new clients/business for campus rentals and maintain budget information

Other Functions:
1. Provide assistance to coworkers in Auxiliary Enterprises in various duties.

2. Seek new business by promoting Benedictine University rental space and Village of Lisle-Benedictine University Sports Complex to potential clients.

Minimum Job Requirements:
Education: Bachelor of Arts in Elementary Education or related field

Experience: 2 years experience in working with children

Specific Skills: computer literate, ability to do word processing and use of Microsoft Office Suite 2003, organization skills, ability to multitask, understanding of children’s camp programs, knowledge of management of personnel

Supervisory Responsibility (if applicable): Solicit, interview, and hire qualified individuals to serve as camp staff.

Conduct orientation session for all camp staff prior to camp including job performance expectations, safety, emergency action plans, and policies/procedures for the camp counselors.

Working Conditions : Normal Office Environment when Summer Fun Day Camp is not in session (Mid-Late August – end of May).

When Summer Fun Day Camp is in session (June-August), outdoor work in summer seasonal climate weather or inclement weather conditions.

Also includes: lifting, setting up camp supplies, caring for children who may be sick or injured, exerting force of 20-50 pounds occasionally, 10-25 pounds frequently, or up to 10 pounds constantly to lift, carry, push, pull or move objects;

Frequent standing, walking, running, bending, stooping, crouching, reaching at, above and below shoulder level, pushing, pulling, twisting at the waist, handling, gripping, grasping;

On rare occasion, kneeling, climbing, extending the neck upward, downward, side to side.
